Subcontractor Dockets Report

Every priced subcontractor docket line on one project for a date range, in one Excel file with four sheets: Subcontractor Dockets Detail, Summary by Supervisor, Summary by Cost Code and Summary by Date. The layout matches the Subcontractor Report from Lacroo Core, so existing spreadsheets and pivot tables keep working.

Who can run it

Anyone whose role has dockets View pricing. By default that is Master Admin, Org Manager, Project Admin, Engineer, Supervisor and Senior Supervisor. Labour, Operator and Client users cannot run it.

What the file contains depends on your role:

RoleDockets in the file
Master Admin, Org Manager, Project AdminEvery subcontractor docket on the project.
Supervisor, Senior SupervisorDockets where you are the supervisor or an additional supervisor.
EngineerThe whole project while Export whole project is on in your role (the default). With it off: dockets carrying one of your assigned cost codes, plus dockets with no cost code.

A report only ever contains the dockets you can open in Lacroo. See Reports for how files, emails and history work.

How to run it

  1. Open Reports › Dockets › Subcontractor Dockets.
  2. Pick Dockets From and Dockets To. Both are required.
  3. Optionally narrow it with Supervisors, Subcontractors and Status.
  4. Check the row estimate under the filters. Dockets that were never priced are counted there (“dockets not priced”); they have no rows in the file.
  5. Click Generate.

You get a “Report ready for download!” email with a Download Report button, and the report appears in Recent reports. Files are kept for 90 days. When a run fails or its file expires, Run Again makes a fresh copy with today’s data.

The file

An Excel file named <Project> Subcontractor Dockets Export <From> - <To>.xlsx, for example Tonkin Extension Alliance Subcontractor Dockets Export 24 July 2026 - 24 Aug 2026.xlsx. Months are short (Sept, June, July). Characters a file name cannot hold are left out.

Filters

FilterWhat it does
Dockets From / Dockets ToThe docket date, both days included. Up to two years.
SupervisorsKeeps dockets whose supervisor you picked. A docket with no supervisor of its own uses its diary’s. This is the same person shown in Submitted By.
SubcontractorsKeeps rows whose printed Supplier you picked. A docket shared by several subcontractors keeps only the chosen companies’ lines.
StatusDraft (including dockets sent by a crew but not yet submitted), Submitted, or Approved (reviewed or confirmed). Opens on Submitted and Approved.

Leaving a filter empty means all.

Summary by Supervisor

One row per supervisor, in the order they first appear: Total Rows, Internal, External and Total Amount. Two people with the same name stay on separate rows. Dockets with no supervisor are grouped under (No Supervisor).

Summary by Cost Code

One row per cost code, in the order they first appear, with the first activity description, Total Rows, Total Qty and Total Amount. Total Qty adds quantities across units, as Core did. Rows with no cost code are grouped under (No Cost Code).

Summary by Date

One row per docket date, oldest first, with Total Rows, Internal, External, Total Qty and Total Amount.

How a line becomes rows

  • Each priced docket line gives one row.
  • A line spread across activities gives one row per activity, each with its own cost code. Those rows add up to the line, to the cent; any rounding cent goes on the last row of the line.
  • The rows of a docket add up to the docket’s total, to the cent.
  • A line migrated from Core keeps its single row and its Core activity.
  • A line that bills nothing (no quantity on any of the docket’s activities) shows a blank Docket Unit Qty and Docket Amount.
  • A docket that was never priced has no rows. It is counted on the form before you generate the report.

Approved and Checked

Approved is the first office approval (the docket was reviewed). Checked is the final approval (the docket was confirmed). A docket can be approved and not yet checked.

Differences from Core

  • Docket Photos are links you can open.
  • Every line shows its rate.
  • Lines priced from a purchase order show their PO number, line and description.
  • Every line shows the subcontractor it bills, never your own company.
  • Approved and Checked show the two approvals separately.
  • Supervisors, Submitted By and Summary by Supervisor name the same person.
  • Status is the docket’s current status.
  • Two supervisors with the same name stay apart.
  • Dates are checked before the report starts.
  • Every run ends as ready, empty or failed, and you are told which.
  • The row estimate covers this project and every filter you set.
  • The button is Generate.
  • A range with no dockets says so instead of producing an empty workbook.
  • Subcontractors matches the printed Supplier on each row.
  • Dockets From and Dockets To are required.
  • Rows are always in the same order.
  • Dockets that were never priced are counted on the form.

Dockets migrated from Core

  • Docket Unique ID is the Lacroo docket id, not the Core id.
  • Units use Lacroo’s words (hour, day, ea).
  • Supplier shows the company’s name in Lacroo.
  • Internal rate card details on migrated lines appear once they are loaded into Lacroo. Until then those columns are blank on those lines.
