Docket Numbers

Every docket gets a number when it is created. An organisation can choose to show that number with the docket’s person and work date added, so a supplier’s invoice line reads straight across to the docket it bills.

How a number is made

{project prefix}-{supervisor initials}-{NNNN} 9MBK-JATO-0035
PartWhere it comes from
Project prefixThe project’s docket prefix (Project → Settings). Left out when the project has none.
Supervisor initialsThe docket’s primary supervisor: the first two letters of their first and last names, upper case.
NNNNThat supervisor’s own counter on the project. It never resets, so each supervisor’s numbers never repeat.

Subcontractor dockets start with SUB- and materials dockets with MAT-.

The number always follows the docket’s primary supervisor, whoever created the docket. A field user from a labour hire company who creates a docket gets the next number on their supervisor’s counter.

A docket whose supervisor’s name has no letters to take initials from gets the project’s own number instead: 9MBK-AUTO-0012. The project hands each of those out once. Plant dockets that generate with no supervisor use the same series.

A docket’s number never changes once it is given.

Showing the person and date

Org → Settings → Organization → Docket Numbers → Include the person and date. Off by default. Only someone who can manage organisation settings can change it, and the change is recorded in the audit log.

When it is on, the longer number is the docket number (owner ruling, 7 October 2026), everywhere a docket number appears, your ERP included:

{number}{Person}{DDMMYY} 9MBK-JATO-0035SamWalker300926
PartRule
PersonThe worker on the docket. On a subcontractor docket, the supplier’s name (see below). Each word starts with a capital, then the words are joined. Only the letters A–Z are kept: spaces, hyphens, apostrophes and digits are dropped, and accented letters lose their accent (Zoë → Zoe). Letters with no plain A–Z form (for example 李) are dropped.
DDMMYYThe docket’s work date, as the project’s own calendar day. A night shift that starts on 30 September is 300926.

Subcontractor dockets are shared by everyone the supplier has on that shift, so they carry the supplier’s name, not a worker’s: SUB-O38U-BRMA-1476AllianceSurveying231026. The name leaves out anything in brackets, a “trading as” or trustee clause, and “Pty Ltd” or “Limited”, and keeps at most 32 letters. Subcontractor dockets that were already submitted before this rule keep the number they had, and so does every docket brought over from Old Lacroo.

A docket with no person keeps the plain number: a plant docket with no named operator, a materials delivery, or a line with a head count but no named worker. So does a docket whose person’s name has no A–Z letters left.

The setting belongs to the organisation that owns the project. A docket a supplier raises on your project is numbered the way your organisation numbers dockets.

When the number is fixed

Until a docket is first sent to your ERP, its number follows the docket: rename the worker, change the date or turn the setting off, and every screen and new export shows the new number straight away.

The first time a docket goes into an ERP export batch, its number is fixed and never changes again: on every screen, in every export, and in every re-push. COINS matches receipts on the supplier reference, whose first part is this number, so a re-push always carries the same reference COINS already holds, and the number you see is the one COINS has.

A docket that was pushed before this change keeps the plain number it was pushed with.

Where it shows

Everywhere a docket number appears:

WhereWhat
WebDocket sheets, the docket workbench, diaries and their print view, Day Works, Daywork Sheets, issues, claims, activity costing, the plant register, files and photos.
PortalsThe supplier portal and the client portal.
MobileEvery screen that names a docket, including the issue Dockets tab and material dockets.
Reports and filesThe Docket Number column of every docket report and export (Supplier Dockets Export, Labour & Plant Dockets Report, Subcontractor Dockets Report, Dayworks Report, Combined Report, the docket CSV export, timesheets, the sign-ons and issues reports), the Day Works CSV and the Daywork Sheet PDF.
ERPThe first part of the COINS GRN supplier reference (pgh_supref), and the docket numbers on the ERP export review and batch screens.
Everything elseNotifications, the Copilot, the public API and Power BI.

A material receipt in the Combined Report still prints the supplier’s delivery docket number.

Too long for COINS

A COINS supplier reference is the docket number, _ and a 32-character key. A docket whose number would make that reference longer than 100 characters is held in the export review (“Docket number too long”) and left out of the push. It is never shortened: the key at the end is what COINS uses to tell receipts apart. Real names come nowhere near this.

Finding a docket by either form

Pasting the longer number into the issue Link dockets search finds the docket, as does its plain number. Case does not matter.
