Daily Diaries Report

A spreadsheet of the site diaries on one project for a date range: one row per diary, then one column per diary question. The file is always named Diary Export.csv.

Who can run it

Anyone with Diaries › Export diaries. By default that is the master admin, organisational manager, project admin, engineer, senior supervisor and supervisor roles.

PersonDiaries they get
AdminEvery diary on the project.
Supervisor and senior supervisorThe diaries where they are the primary supervisor or an associated supervisor.
EngineerThe whole project when Export whole project is on for their role (the default). When it is off, the diaries whose primary or associated supervisor is one of their assigned supervisors.

An engineer with no assigned supervisors gets every diary on the project.

How to run it

Open Reports › Diaries & prestarts › Daily Diaries, or click Export on Site Diaries. Export fills in the dates, supervisors and status you are looking at; it never starts a report by itself.

FilterWhat it does
From, ToWhole days in the project’s calendar, both included. Up to 732 days. Starts on this month so far.
SupervisorsOnly diaries owned by these supervisors. Empty means all supervisors.
StatusOnly diaries with these statuses (Draft, Submitted, Reviewed, Confirmed). Empty means all.

Click Generate. The file downloads by itself when it is ready. It is also kept in Recent reports for 90 days. There is no email unless the report fails.

The columns

The first nine columns are always the same:

ColumnWhat it shows
ProjectThe project’s name.
SupervisorThe diary’s owner.
Diary DateThe diary’s day, as YYYY-MM-DD.
Site LocationThe project location picked on the diary, else the location typed on it.
Activity DescriptionThe diary’s activity description.
VisitorsPeople signed on to the diary’s prestarts who have no app login, in sign-on order. For diaries from Lacroo Core, the names Core recorded.
Weather ObservationsThe answer to the project’s “Weather Observations” diary question. Blank when the project has none. Never the automatic forecast.
Diary SubmittedWhen the diary was submitted, as Mmm DD, YYYY hh:mm am/pm in the project’s time zone. - when it never was.
Diary SavedWhen someone last saved the diary, in the same format. - when never.

Diary Saved

Diary Saved is the last time someone saved the diary: pressed Save on the web, in the app or by voice, or changed it in a bulk edit or with Copilot. Submitting, reviewing, confirming or reverting a diary does not change it.

A diary with no recorded save shows - until it is saved again. Diaries brought over from Lacroo Core show Core’s own saved time.

Question columns

After the nine fixed columns comes one column per diary question:

  • every diary question answered on any diary of the project, in form order;
  • then deleted questions that were answered on a diary in the chosen dates.

NA means the diary did not answer that question. Two questions with the same name, or a question named like a fixed column, get (2) after the second one.

Answer typeHow it prints
DateFeb 4, 2026
Dropdown, radioThe chosen option.
Multi-select, day of weekThe ticked options, joined with commas.
CheckboxYes or No.
PersonThe person’s name. NA if the person can’t be found.
AddressStreet, suburb, state and postcode, joined with commas.
FileThe file names.
TableOne line per row, cells joined with |.
Text, number, time and yearAs entered.

Spreadsheet safety

A cell that starts with =, +, - or @ gets a leading ', so Excel never runs it as a formula. A cell that is just - stays -.

Differences from Lacroo Core

  • Only the chosen project’s diaries, never another project’s.
  • An empty Supervisors choice means all supervisors; it never drops anyone’s diaries.
  • Every answered question gets a column, not only the first diary’s questions.
  • The dates start on this month so far.
  • Dates and times use the project’s calendar and time zone.
  • Every cell is escaped properly, so commas, quotes and new lines stay in their cell.
  • Rows are always in the same order: by diary date, then supervisor, then shift.
  • When nothing matches, you see “No diaries found for these dates.” instead of a failed download.
